Collection Letter Template for Consultants

Consultants have a particular problem: the person who owes you is often the person you're still advising. This letter stays collaborative, points to the payment terms you both signed, and mentions pausing work only if your agreement allows it.

RE: Past-due invoice for [Engagement / Project Name]

Dear [Client Name],

Invoice #[Number] for [$Amount] ([Retainer Month / Milestone]) was due on [Due Date] and is still unpaid. Our agreement dated [Agreement Date] calls for payment within [Number] days.

Please let me know by [Response Deadline] when it will be paid.

Our agreement also provides that work pauses when an account is more than [Number] days past due. I'd like to keep the project on schedule, so if something is holding up payment, let's talk this week.

Best regards,

When to use this letter

  • A retainer or milestone payment is past due on an active engagement.
  • Your agreement has payment terms, and ideally the right to pause work.
  • You want to keep working with this client once the account is current.

Tips

  • Only mention pausing work if your agreement gives you that right. If it doesn't, add it to your next engagement letter.
  • Bill retainers in advance when you can. Collecting for work already delivered is always harder.
  • Write to the decision-maker you work with, and copy their accounts payable contact.
  • Keep the letter about the account, not the person. You'll be in a meeting with them next week.
